As the Payroll Manager at Pandora, you will be responsible for processing a payroll across a busy corporate population of 100 employees, and a fast paced retail population of 2000 employees across 150 UK & Ireland retail stores. We are looking for a strong Payroll Manager who will confidently handle a wide range of issues. Managing the payroll will solely lie with this role, so it is important this person is confident with real payroll expertise. This could include taking full ownership in managing a change project to advising on specific and individual payroll items.

Key Responsibilities

 

UK & Channel Islands Payroll

  • Main point of contact for external payroll provider for UK, Isle of Man and Jersey payroll

  • Export monthly payroll reports from HR system on a monthly basis, checking accuracy of all reports against trackers maintained by the HR Assistants

  • Export monthly timesheet report and cleanse the data before sending to payroll provider

  • Collate all payroll data into a master spreadsheet to send to our external payroll provider

  • Consolidate all P45/starter checklist information to be sent to external payroll provider

  • Conduct spot checks on absence reports to identify any employees eligible for Statutory Sick Pay - highlight these to our payroll provider 

  • Check payroll providers draft reports, identify any discrepancies by cross checking against internal report - ensure any amendments are actioned before the payroll is submitted 

  • Act as the main point of contact for all employee payroll queries, investigating and rectify discrepancies where necessary

  • Create maternity pay schedules for HR and our payroll provider when requested; spot checking Company Maternity and SMP payments on a monthly basis

  • Create monthly journal and recharge files for Finance

  • Create and calculate monthly, quarterly and annually bonus reports for sign-off

  • Completing FTE and Head Count reports for Finance as per deadlines

  • Update payroll provider about any changes in benefits


Ireland

  • Main point of contact for store and employee queries
  • Export timesheet reports from HR system on a monthly basis, including anomalies from previous month
  • Enter any new starter, changes on to payroll system using the tracker HR manages

  • Process and check leavers on the payroll, ensuring final holiday balances have been processed correctly

  • Adjust PRSI weeks for those that start and leave mid-month

  • Download and process monthly RPN notices issued by Revenue before finalising the payroll

  • Calculate and check payroll reports, ensuring maternity payments are processed in line with the guidance set by the government

  • Complete FTE and Head Count reports for Finance as per their deadlines

  • Prepare monthly and quarterly spreadsheet to Sales Director for retail bonus

  • Create monthly journal and recharges for Finance

  • Process monthly submissions to Revenue, including processing payment


Ad Hoc Duties

  • Manage employee referral payments, ensuring they are paid correctly

  • Pull ad hoc reports where required

  • Complete Gender Pay Gap reporting

  • Process yearly P11d’s for UK payroll

  • Provide advice to employees on pension schemes and contributions

  • Maintain and share knowledge of any legislation changes such as minimum wage or increase in statutory payments

  • Updating yearly payroll calendars, liaising with the payroll provider to agree cut-off

 

About You

Ideal candidates will have experience processing a multisite organisation from start to finish, ideally for a similar sized organisation. They will be confident and have advanced Excel skills; be able to carry out vlookups, pivot tables, and have an ability to manipulate data. The role will require excellent attention to detail as well as an ability to spot errors. Suitable candidates will need to have the ability to establish strong working relationships with external providers, and internal stakeholders including Store Managers and employees and to work collaboratively with both the HR and Finance teams and thrive in a fast paced environment with the ability to remain calm whilst working to tight deadlines. Prior involvement in leading payroll systems implementations would be advantageous.
